2. Last Contact Date
Log every interaction. Project completion, a check-in call, a result they loved. Your brain will forget; the spreadsheet won’t. Use a simple date format (YYYY-MM-DD) so Excel can sort it.
3. Next Action & Due Date
This is the game-changer. Set a specific task and date: “Follow up on project results—due 2026-08-15.” Now you have a to-do list, not a vague pile of client relationships.
Add a Helper Column: “Days Since Contact”
Create a formula like =TODAY()-[Last Contact Date]. Now you can sort by this column and instantly see which clients are due for a check-in. If someone hasn’t heard from you in 30+ days, they’re at risk. That red flag saves client relationships.
Automate the Routine (Optional)
Once your CRM is set up, you can trigger a simple workflow: each week, filter for clients you haven’t contacted in 30 days and send a brief update. Not salesy. Just: “Thinking of you—here’s what’s working well with your project” or “How are results showing up for you?”
That one email often leads to a second project, a referral, or at least a client who knows you’re reliable.

Your best business comes from clients who trust you because you show up. A CRM—even a simple one—turns that intention into a habit. You’ll catch renewal conversations before they become departures, and you’ll spend less time in “crisis mode” chasing lost leads.
